Electronic Library Policies and Procedure

Laptop Checkout Policy-

Policy:

St. Joseph’s Community Health Services makes available to any qualified employee, as explained below, a laptop computer for business or personal use related to the search for health information or continuing education. The intent is to provide these computers on a short-term basis. Under certain circumstances, the library team reserves the right to recall a laptop.

Procedure:

The computers may be reserved at the St. Joseph's Community Health Services Electronic Library between 8:00 am-4:30 pm Monday- Thursday or by calling extension 8156. Requests can also be e-mailed to kcoblentz@stjhealthcare.org. Reservations are made on a first come, first serve basis; therefore, advanced notice is advisable to ensure availability

To qualify for reservation rights on the computers, an employee must possess the following skills and agree to comply with the following stipulations:

  1. The employee must have a working knowledge of computers and of the software programs they intend to use.
  2. The employee must agree to take full responsibility for any damage to, or the loss of, the computer while in their possession. Employee is also responsible for damage to, or loss of, peripheral equipment (CD-ROM drives, floppy disk drives, adapters, etc.) Damage includes, but is not limited to, leaving laptop in an automobile in extremely cold or hot weather.
  3. If traveling by air, the laptop is considered “carry on” luggage and must not be checked with other baggage. The employee must “carry on” the laptop.
  4. By signing this form the employee understands that any duplication of software from this machine is in violation of US copyright law and is, therefore, forbidden and punishable by law.
  5. Any special software needed by the employee must be approved by, installed, and uninstalled by authorized St. Joseph’s personnel. The employee is responsible for contacting and scheduling the loading and unloading of software with Library staff. Software installation, if  necessary, should be considered when making laptop reservations.
  6. The employee must agree to return the computer within the given time frame. Demand may dictate recall of laptops already in use. The hard drive of the computer will be cleaned of all remaining files when the computer is returned, so work done by the employee must be saved on their own disks. While every effort will be made to honor reservations, they may be canceled at any time due to unforeseen developments in critical areas.
  7. Normal check-out time is 24 hours or less, with the approximate time of return to be stated when the reservation is being made. If a check-out time of more than 24 hours is needed, the employee will have to get approval from the electronic library team.

Computer Usage Policy

Policy:

St. Joseph’s Community Health Services makes electronic resources available to educate staff and consumers in order to enhance the care provided according to our mission.

Procedure:

The electronic library will be open with regular library hours (8:00 a.m. – 4:30 p.m, Monday - Friday), with expanded hours made available with special arrangements based on department need and request.  Such hours will be determined through collaboration with Community Outreach (library assistant), Human Resources and the department(s) involved.

By using the electronic library computers, the user agrees to the following rules and policies of conduct

  1. These computers are primarily for health information access or continuing education.
  2. Personal files are to be saved to a floppy disk, not to the hard drive.
  3. Library staff reserves the right to ask you to leave your computer.
  4. Library staff should be made aware if someone is observing the user’s computer use.
  5. Error messages, hardware damage, or other problems must be reported to staff.
  6. Volume levels will be kept at a minimum if more than one user is in the library area.  The user’s own headphone may be used if sound is necessary while using a particular computer program.

The following actions are not allowed on these computers and may result in loss of computer privileges:

  1. Making changes to the setup or configuration of the software or hardware
  2. Intentionally damaging the software or hardware.
